Voice Memo Feature - Data Processing Notice

This notice applies to the Voice Memo feature (hereinafter referred to as “this feature”), and explains how we handle relevant personal information when you use recording, audio import, speech transcription, and content summarization functions. All processing described herein is performed locally on your device. Audio and text data will not be uploaded to our servers or any third-party servers.

1. Personal Information We Process and the Purposes

To enable voice recording, text conversion, and content understanding functions, we process relevant personal information locally on your device. Details are as follows:

 

• When you initiate a recording, this feature collects audio data captured through your microphone on your device, which is used to generate voice memo content.

• When you import audio, this feature reads the audio file you have actively selected for subsequent speech transcription processing.

• During speech transcription, this feature processes audio data locally to generate editable text content, thereby enabling the voice-to-text function.

• In the content summarization function, this feature analyzes and processes the transcribed text to generate summaries or key points, and may organize the content into a mind map based on its structure.

• When performing translation, this feature performs local language conversion on the transcribed text or summarized content to enable multilingual understanding and expression.

All functions of this feature rely on locally deployed AI models on your UGREEN NAS device (including speech recognition models, voiceprint analysis models, text summarization models, etc.) and are executed in an offline environment. Your audio and text data always remains on your local UGREEN NAS hard drive and will never be uploaded or shared with any third party.

2. Data Storage and Retention

• Relevant audio files, transcribed text, summarized content, and translation results will be stored on your local UGREEN NAS hard drive, under your own control and management.

• You may view, edit, or delete relevant content at any time according to your needs.

• When you delete relevant content or uninstall the application, the content will be permanently deleted and cannot be recovered.

3. Device Permission Usage

This feature requires access to your device's microphone permission. We strictly follow the principle of minimum necessity in using this permission:

 

• Microphone permission is only activated when you actively trigger a recording operation;

• Audio data collected through the microphone is used solely for Voice Memo-related functions and for no other purpose.

• You may disable microphone permission at any time through your device’s operating system settings. After disabling, the recording function will be unavailable, but other functions will not be affected.

4. Your Rights

Since all data for this feature is stored on your local UGREEN NAS hard drive, you may exercise the following rights directly within this feature without submitting a request to us:

 

• You may directly manage relevant content within this feature, including viewing, editing, and deleting.

• For microphone permission, you may enable or disable it through your device system settings.

• To the extent required by applicable law, if our processing of data is involved, you may still exercise your rights of access, rectification, deletion, or restriction of processing in accordance with the law. Please refer to the UGREEN NAS APP Privacy Policy for specific procedures.

 

5. Your Responsibilities and Commitments

• When using this feature, you must ensure that you have a lawful basis for the content you record or import. If other individuals’ personal information is involved, you must obtain their lawful authorization and consent in advance, or have other sufficient legal grounds.

• You will not use this feature for any illegal surveillance, invasion of others’ privacy, or any other purposes that violate applicable laws and regulations.

• In certain jurisdictions, recording without consent may violate applicable laws (e.g., all-party consent may be required). Please comply with relevant laws and regulations and bear the corresponding responsibility.
